Caribbean Destination Wedding - Puerto Rico Checklist & BudgetThe most common first question we hear from brides who dream of a destination wedding in Puerto Rico is “where do I start?” The answer is simple: The budget! Even brides who already know their budget worry about whether it’s enough. All budgets are feasible, and part of our job is to help you keep within your budget and plan your wedding based on your budget. The great news is that destination weddings are often less expensive because they generally involve fewer guests. Wedding prices vary significantly depending upon where you choose to have the ceremony and reception. Caribbean Planning understands that couples wishing a destination wedding in Puerto Rico are often unfamiliar with the costs involved. For that reason, we put together estimates for the many services to give couples a better idea of the costs of a wedding in Puerto Rico and help create a budget. Please note that Prices below are just estimates; they will vary depending on the site and vendors that you choose, among other things. Also, this list is meant to be comprehensive; you don’t need to hire every single vendor enumerated and other services can be added to cater to each bride/groom’s necessities. | Site - Most sites either (a) charge a small rental fee or (b) work on minimum consumption. Minimum consumption means that as long as you spend a specified amount on food and beverage, you do not need to pay an extra charge for renting the ceremony and reception areas. |  | Food and Beverage - The price of food and beverage is usually the biggest expense at weddings.Food - Just to give you an idea, the price of a buffet or a three-course meal can vary from $40 to $200 per person (+ approximately 20% service charge), depending upon the site you choose and your menu selections. If your budget does not permit this expense or if food is not a priority for you and your fiancée, you can also choose to do a cocktail-style reception with just Hor D’ Oeuvres. The possibilities are endless!Beverage - You have an option for either: (a) an open bar- paid per hour, (b) an open bar- paid per consumption, (c) a cash bar, or (d) no bar. Just to give you an idea, the price of a four hour open bar will range from $20.00 to $60.00 per person (+approximately 20% service charge), depending upon the site you choose and the type of bar you desire.
|  | Cake - Prices for cake vary from approximately $4 to $9 per person (per piece), depending upon how elaborate the cake is and how many guests will be in attendance. |  | Photography - Prices for the best photographers in Puerto Rico range from $1,000 to $4,000, but you can get a great photographer for as low as $600. |  | Videography - The price for coverage of the full event and 3 DVDs can vary from $900 to $2,000, depending upon the videographer of your choice. |  | Ceremony Officiant / Celebrant and/or Religious Center - Fee will vary from approximately $250 - $500, depending upon the site you choose. |  | Decorations and Flowers (ceremony, cocktail and reception sites) - The price of flowers and decoration can and will range considerably depending on what each bride wants and how high decoration /flowers ranks on the list of priorities. We always advise brides to decide first how high decoration /flowers ranks on the priority list. If it ranks high, we advise choosing flowers first so that we can meet with the florist for a cost estimate early in the planning process. This allows brides to have an early estimate for flowers in order to better asses what she can spend on other services. If decoration /flowers ranks relatively low on the priority list, we usually advise brides to book most of the other vendors before budgeting for decoration / flowers. |  | Music Ceremony - The price for a ceremony musician(s) can range from $200 to $600, depending upon the kind instrument(s) you wish to have, how many musicians, and the location you choose, among other things. A more economical option is to have a DJ set up a sound system at the ceremony site to play the traditional wedding songs. Cocktail Hour Band or Musician - Prices can range from $100 to $500, depending upon the kind of music you want, how many musicians, etc. Another more economical option is to have a DJ play instrumental music (or any other music of your choice) during the cocktail hour.Reception Bands for 4 hours: Range from $600 to $5,000, depending upon the kind of music you want, how many musicians, and the location you choose, among other things. DJ to play during the band’s breaks OR all night, if you chose not to have live music: Approximately $500.
|  | Special entertainment (slide show, salsa dancers or instructors, Brazilian show, etc.) - Prices vary depending upon the type of special entertainment you wish to have, duration of the show or class, etc. |  | Transportation (to and from ceremony and reception and/or to and from hotel and wedding events) - Price per person will depend upon the sites you chose for the ceremony and reception and where most of your guests are staying. You are likely to have you guest room-block at the resort where you will be having the ceremony and hosting the reception; therefore, transportation is often not needed. |  | Marriage License - Fee for the marriage license is approximately $30. |  | Wedding Planner, Consultation and Coordination - Our services are charged on a flat-fee basis, with specific rates depending upon the services you need (the package you chose), the overall complexity of the event, the number of guests you are expecting, the site you choose, and your total budget, among other things.
